Privacy Policy
SchoolTrack Technologies processes student, parent and driver data only to run school transport for the school or van operator that holds the account. We do not sell personal data, we do not share it between accounts, and a parent can only ever see their own children.

Who we are
SchoolTrack Technologies ("we", "us") operates SchoolTrack, a school bus and van tracking service. Our address is Sector 44, Gurugram, Haryana 122003, India. You can reach us at hello@schooltrack.in or +91 84485 23313.
This policy explains what we collect, why, how long we keep it, and what you can ask us to do with it. It applies to our website, the parent and driver apps, and the school administration panel.
What we collect
We collect only what the service needs to work:
- Account details — name, mobile number, email address and password (stored hashed, never in readable form).
- Student details — name, class, a photograph where the school provides one, the assigned route and stop, and boarding and alighting records.
- Driver details — name, contact number, licence and vehicle registration, and uploaded verification documents.
- Location data — the position of a vehicle while a trip is running, and the pickup or drop point a parent sets for their own child.
- Technical data — device type, app version and error logs, used to keep the service working.
We do not collect payment card details. Card and UPI details are entered on the payment gateway’s own page and never reach our servers.
Children’s data
Student records are entered by the school, or by a parent for their own child. We treat this data as belonging to the school or the parent, not to us.
We do not use children’s data for advertising, we do not profile children, and we do not pass a child’s name or photograph to any third-party service for things like generated avatars. Where a display picture is needed and none exists, it is drawn from the child’s initials on our own servers.
Why we process it
- To show a parent where their child’s vehicle is, and to alert them when their child boards or is dropped.
- To let a school or van operator plan routes, record attendance and run their transport.
- To verify a van driver’s licence and vehicle before listing them to parents.
- To take subscription payments and issue receipts.
- To meet legal obligations, and to investigate misuse of the service.
Who can see it
Access is scoped by account. A school sees only its own students, drivers and vehicles. A van operator sees only the children assigned to them. A parent sees only their own children.
We share data outside the platform only with: the payment gateway that processes a transaction; the messaging providers that deliver an SMS, WhatsApp or push notification you have asked for; and our hosting provider, which stores the data. We do not sell data and we do not share it for advertising.
We may disclose data where the law requires it, or where it is necessary to protect the safety of a child.
How long we keep it
- Trip and attendance history — kept for the current academic year, then archived.
- Vehicle position history — kept for 90 days, then deleted automatically.
- Account records — kept while the account is open.
- Payment and invoice records — kept for eight years, as Indian tax law requires.
When an account is closed, personal data is deleted or irreversibly anonymised within 30 days, except records we are legally required to keep.
Security
Data travels over HTTPS. Passwords are stored using a one-way hash. Gateway credentials and API keys are encrypted at rest. Access to production data is limited to staff who need it to support the service.
No system is perfectly secure. If a breach affects your personal data we will notify you and the Data Protection Board of India as the Digital Personal Data Protection Act, 2023 requires.
Your rights
Under the Digital Personal Data Protection Act, 2023 you may ask us for a copy of your data, ask us to correct or erase it, and withdraw consent you have given.
A parent who signed up directly can close their account and erase their data from within the app, under Profile. Where a school created the account, ask the school office — the data belongs to them and we act on their instruction.
